Using WhatsApp messages in a work dispute
Practical guidance, not legal advice. Rules differ by country and court. Your lawyer has the final word.
Shift changes, instructions, comments from a manager, a group chat that turned hostile: workplace WhatsApp messages often end up in grievances, disciplinary hearings and employment tribunals.
Before you do anything
- Only use chats you were part of. Don’t take screenshots from other people’s phones.
- Check your employer’s policies and ask your union rep or lawyer what you may share and with whom.
- Export early. You may be removed from a work group, and then the history is harder to get.
Exporting a work group chat
Group chats export exactly like one-to-one chats (iPhone · Android). In Paperthread, every sender gets their own colour, and the Records layout lists each participant with their message count on the cover page.
Presenting it
- Choose the Records layout and filter to the relevant dates.
- Use a page-reference prefix (e.g.
C-for claimant documents) if your adviser suggests one. - Keep the original export file, and note the SHA-256 fingerprint printed on the cover page.
Make a numbered record of a work chat. Nothing is uploaded.
