How to print WhatsApp messages for court, HR or a dispute

This is practical guidance, not legal advice. Rules on electronic evidence differ by country and by court. Your lawyer, or the court or tribunal’s guidance, has the final word.

Whether it’s a landlord dispute, an employment claim, a custody case or an insurance claim, the aim is the same: a complete, readable, unaltered record that others can check against the original.

Checklist

  1. Don’t delete anything, including messages that don’t help you. Gaps get noticed.
  2. Export the whole chat, not screenshots (iPhone · Android). An export includes every message with its date and time.
  3. Keep the original export file and the phone. Store a copy of the .zip or .txt somewhere safe and don’t edit it.
  4. Make it readable. Use a layout where every message has a number, a date, a time and a sender, and every page has a reference. That makes it easy to say “see message 214 on page EXH-A-000012”.
  5. Record a fingerprint of the original. A SHA-256 hash of the export file, printed on the document, lets anyone confirm the PDF was made from that exact file.
  6. Narrow it down if needed. If only a period matters, filter by date, but keep the full export available.
  7. Photos matter? Export with media so images appear where they were sent.
  8. Ask what format they want. Some courts want paper bundles with page numbers, others PDFs. Ask before you print 400 pages.
